Administrative Assistant

Department: Finance
Region: Asia

Representative Responsibilities:
• Handles office administration matters
• Provides Administrative support on an as needed basis in various departments
• Answers company phone lines
• Calls are answered in a polite and professional manner
• The caller’s intent is clarified and the call is appropriately routed
• Knowledge of Company’s phone extensions, employee’s schedules, etc. is used to route calls appropriately
• Routes incoming faxes
• Notifies and/or distributes deliveries to appropriate personnel
• If applicable, greets guests in a timely and professional manner
• Employee whom the guest wishes to visit is contacted immediately
• Guests are offered comfortable accommodations
• Guests are provided with directions to the employee’s area if necessary
• Travel booking
• Office stationery & SWAG ordering
• Handling administrative aspects for ETC Open houses/Training event/Marketing events including venue booking, invitation & registration arrangement, catering arrangement, printing arrangement, etc.
• Coordinates reports and invoices
• Archive scanning, photocopies, faxes, laminating and filing of documents
• Performs data entry
• Completes special projects and requests in a timely and positive fashion
• Assist in preparing tender document
• Other tasks as assigned

•Minimum Qualifications:
• F6 or above
• 2+ years of job-related experience
• Experience in a team environment
• Hardworking and self-motivating
• Ability to interact with other employees, work as a team
• Strong communications and interpersonal skills
• Proficient in MS applications including Word, Excel, PowerPoint and Chinese Word Processing
• Good command of written and spoken English, Cantonese and Mandarin
• Ability to communicate in business environment
• Proven ability to deal with all levels of personnel and maintain strictest confidentiality
• Ability to work independently
• Knowledge of multi-line phone systems
• Able to project a friendly and professional demeanor
• Able to work well under pressure
• Strong organizational skills and attention to detail
• SAP Knowledge would be definite advantage
