Product & Demo Equipment Administrator

ETC, a global leader in entertainment and architectural lighting, rigging, and control solutions, is seeking a Product & Demo Equipment Administrator to join our Marketing team in London.

In this role, you'll spend much of your time working hands-on with ETC products, preparing, testing, configuring, inspecting, and coordinating equipment for demonstrations, training events, and customer use. Supporting this work is a strong administrative component, including inventory management, record keeping, logistics coordination, and equipment tracking. We're looking for someone who enjoys working directly with technology while also maintaining the organization and processes needed to support a busy product demonstration program.

Success in this position requires exceptional organization, attention to detail, and a genuine interest in ETC technology and its real-world applications. Candidates with existing knowledge of ETC product lines, entertainment technology, or related industry equipment will be especially well positioned to succeed.

Responsibilities include coordinating demo equipment, maintaining accurate inventory records, preparing and testing products, and supporting sales, training, and customer-facing activities. This role offers a unique blend of administrative coordination and hands-on technical work, making it ideal for someone who enjoys both managing details and working directly with equipment.

Representative Responsibilities
• Demo Equipment coordination & control
• Manage all incoming demo and loan requests across UK and assigned territories
• Schedule, allocate, and track demo equipment using internal systems (e.g. Current RMS / SAP)
• Ensure availability of equipment aligned with sales and training needs
• Monitor loan durations and proactively chase overdue equipment
• Maintain accurate records of all demo movements, usage, and location
• Prepare and test all equipment to the highest of presentation and safety standards, creating a positive customer experience of the product and the company
• Check all equipment on return for damage, missing parts etc.
• Coordinate basic maintenance, repairs, or replacements as needed
• Work with technical teams to resolve faults or configuration requirements
• Maintain accurate inventory records for all demo and training equipment
• Support cycle counts and investigations of discrepancies
• Monitor condition, utilisation, and lifecycle of demo stock
• Produce reports on equipment usage, idle stock, and losses/damage
• Act as a key point of contact for demo-related queries
• Resolve issues relating to equipment availability, delivery, or returns
• Maintain clear and proactive communication with Sales Team, Management and Customers
• Shipment coordination
• Generate all required shipping documentation (packing slips, acknowledgements)
• Coordinate with internal logistics teams
• Ensure timely delivery for demos, events, and training sessions
• Sales, Training & Event support
• Support internal and external demos, customer visits, and sales events
• Provides meeting services assistance as requested – including greeting Trainees and building tours
• Coordinate equipment for training sessions, trade shows, and roadshows working under the direction of the Marketing Events team
• Completes other duties as assigned

Minimum Requirements
• DipHE or 3-4 years of increasingly responsible positions in technical role
• Experience in a team environment
• Knowledge of ETC product or industry related equipment
• Knowledge of business systems (SAP, Current RMS, etc.) desired
• Ability to handle confidential, proprietary information in a professional manner
• Ability to interact with other employees, work as a team
• Excellent communications and interpersonal skills
• Proven ability to work independently
• Ability to read and understand written and verbal instructions
• Ability to read, speak, and understand English
• Ability to use Microsoft Word, Excel, Outlook, Power Point, etc.
• Ability to type documents/reports and create presentation materials
• Able to project a friendly and professional demeanor
