Logistics & Customs Coordinator

Representative Responsibilities:
Compliance
• Coordinates & supervises the shipping process for international shipments into & out of ETC Germany
• Communicates with ETC departments and forwarding agents to ensure a smooth and efficient international shipping process
• Effectively communicates delays, backorders, and expected availability
• Provides information to customers as needed and assists in coordinating direct shipment deliveries
• Contacts carriers to schedule pick up for international orders and provides carrier pick-up scheduling information to ensure freight readiness
• Works closely with Shipping, communicating upcoming freight volumes and special requirements
• Prepares and provides legally compliant export documentation for international shipments and coordinates all associated paperwork through to filing
• Prepares commercial invoices, unless provided by the service groups.
• Coordinates the preparation of proforma invoices when required
• Coordinates Letter of Credit process ensuring shipping requirements are met
• Maintains required filing of copies of international shipping documentation
• Maintains the assignment of commodity codes and countries of origins for German exports/imports
• Collects and maintains accurate information on product classifications, vendor classifications, harmonized tariff classifications, country of origin determinations, commodity codes, product valuation reporting, sanctioned party list screening, and export license applications.
• Remains current with changing international shipping regulations
• Coordinates, implements, and maintains trade compliance regulations, policies, procedures, compliance programs, training, licensing and import/export audit programs

• Creates and maintains procedures necessary to remain in compliance with German Customs legal requirements
• Coordinates the implementation of duty drawback and other cost-saving programs
• Coordinates customs subjects and audits
• Coordinates EAC certificates
Supply chain coordination - Backup for supply chain management such as:
• Planning

• Runs reports on sales figures and plans the demand for the European locations in conjunction with maintaining safety stocks and forecast in conjunction with the Materials Manager.
• Runs daily ordering request reports for the European plants
• Direct communication with the planning team at ETC Inc., trying to schedule demand ahead of time to avoid extra shipping cost for expediting purchase parts or overtime in production at ETC Inc.
• Coordinates inventories and requirements across the European warehouses to optimize stocking levels while minimizing costs. Focuses on supply via ocean rather than air or parcel, unless necessary
• Assists in a backup role in the absence of the Production & Logistics Manager

• Assists in optimizing inventory levels across Europe to maximize turns and availability while minimizing investment and obsolescence
• Intercompany purchasing

• Creates and maintains Intercompany purchase orders for the demand of the
European plants (container, airfreight and courier shipments)

• Direct communication with Customer Service & Tech Service Departments (ETC GmbH and ETC Ltd.) on product availability and delivery times
• Responsible for maintaining Intercompany items with pricing and cost roll
• Logistics
• Assists in the selection of carriers for container shipments from ETC Inc. to the European central warehouse & for road freights and courier shipments from the European central warehouse to ETC GmbH and ETC Ltd.

• Sets up and distributes the current Ede container schedule to the International Logistics group
• Supports with import and export processes and documentation for the European central warehouse as well as the European plants where appropriate
• Direct communication with Logistics group at ETC Inc. as well as with European Logistics groups
• Assists in daily logistics activities for the Production & Logistics Manager and European Logistics Manager in their absence
• Assists in maintaining critical SAP logistics data such as HS codes, Countries of origin, product weights, etc.
• Ensures compliant filing of import/export documentation
• Assists in researching interplant inventory discrepancies
• Coordinating Intercompany processes between ETC GmbH, ETC Inc., ETC Ltd. and ETC B.V.
• Provides assistance and administrative support for European purchasing and production projects
• GmbH tasks

• Responsible for maintaining inventory lists, controlling inventory and cycle counting
• Assists with annual audits from Materials Management side
• Maintains parts and controls parts inventory in the system
• Responsible for item control and updating supplier information
• Responsible for supporting and assisting all related warehouse
• Responsible for the receipt of goods, all necessary paperwork, logging, tracking and stocking
• Completes shipments when necessary
• Assists with import paperwork and communicates with carriers
• Assists with communication with vendors and suppliers via phone, Email, fax etc.
• Assists with purchasing for production parts
• Assists with purchasing inquiries and negotiations
• Assists with demo loan processes
• Responsible for generating and distributing various reports
Accounts control

• receives incoming invoices
• allocates invoices to appropriate cost center
• Assists with the GmbH web shop
• Other tasks as assigned
• Completes special projects and requests in a timely and positive fashion

Minimum Requirements:
• Bachelor’s degree – preferably in Supply Chain Management - or equivalent manufacturing experience
• Work experience in supply chain management and customs related tasks for importing and/or exporting goods.
• Completed formal Export Manager training through an accredited program, preferred
• Excellent interpersonal and communication skills and the ability to develop relationships and collaborate across intercompany departments and groups
• Ability to multitask
• Strong research, analytical and organizational skills
• Good attention to detail and accuracy
• Willingness to travel if necessary
• Fluency in German and English – both written and spoken
• Computer skills – including Microsoft Office
• Experience with SAP
• Knowledge & interest in continuing education in import/export law
• This position assumes greater independence in assignments as well as decision making
• At this level, the employee, having developed expertise in the line of work resolves most of the conflicts that arise and determines the approach to be taken.
• Completed work is reviewed from an overall standpoint in terms of feasibility, compatibility with other work, or effectiveness in meeting requirements or expected results.
• Knowledge of production and purchasing practices and methods
