Office Coordinator

ETC, a global leader in entertainment and architectural lighting, currently has an opening for an Office Coordinator at our Austin, TX location! This is an onsite position. We are looking for highly motivated, detail-oriented, and self-directed individual.

This is a senior level onsite position responsible for coordinating and providing internal and external administrative resources support. Representative Responsibilities:

  • Answers company phone lines & routes calls appropriately
  • Greet guests in a timely and professional manner & contact their host immediately
  • Provide administrative support including sorting mail, data entry, maintaining office supplies, filing, handling deliveries, taking meeting minutes, preparing documentation & presentation materials etc.
  • Coordinate employee events, lunches, cookouts, event ticket distribution etc.
  • Coordinate customer training, meetings, presentations, and events including travel, lodging, transportation, swag, meals & room preparation etc.
  • Support customer service department with order processing and customer contact as needed
  • Provide local facilities administration as needed
  • Maintain condition of reception, staff, kitchen, coffee maker and meeting rooms
  • Coordinate building maintenance contracts and repairs as needed
  • Liaise with office cleaning company & maintaining janitorial supplies
  • Coordinate recycling efforts including all waste streams – Regular, WEEE, Hazardous waste et
  • Completes other duties as assigned
  • Special projects and requests are completed in a timely and positive fashion

Minimum Qualifications:

  • Ability to interact with other employees, work as a team
  • Strong communications and interpersonal skills
  • Ability to communicate in business environment
  • Proven ability to deal with all levels of personnel and maintain strictest confidentiality
  • Ability to work independently
  • Ability to read, speak and understand English
  • Keyboarding skills, both alpha and numeric
  • Knowledge of multi-line phone systems
  • Able to use Microsoft Word and Excel effectively
  • Able to project a friendly and professional demeanor
  • Able to work well under pressure
  • Ability to multitask
  • Strong organizational skills and attention to detail
  • SAP knowledge helpful
