Office Coordinator - NYC

ETC, a global leader in entertainment and architectural lighting, currently has an opening for an Office Coordinator at our New York City location! This is an onsite position and we are looking for a highly motivated, detail-oriented, and self-directed individual.

This is a senior level onsite position responsible for coordinating and providing internal and external administrative resources support. Representative Responsibilities:

  • Provides administrative support for the office
  • Maintain office supplies
  • Answer phones in polite and professional manner/accurately direct calls
  • Greets guests in a timely and professional manner
  • Establishes and maintains files and filing systems if applicable
  • Reconciles office records
  • Owns office procedures
  • Assist TSM and office staff as necessary (within reasonable job parameters)
  • Maintain accuracy of customer information within databases (ex. Constant Contact)
  • Provides event services assistance
  • May assist in the planning of events including travel, lodging, transportation, and meals
  • Coordinate/contribute to shared office calendar
  • Coordinate use of hot desks as required by visitors (specifics worked out with TSM)
  • Creates excel spreadsheets and reports per manager specification
  • Follows up on action items as needed
  • Places orders with vendors as requested (ex. Fresh Direct)
  • Produces and routes correspondence, reports and other documentation
  • If applicable, designs, creates and generates advanced documents in Word and Excel
  • Performs other clerical and statistical assignments where considerable trust and accuracy are involved
  • Drafts correspondence as needed
  • May be responsible for assisting/providing direction to employees handling SWAG requests
  • May provide administrative support on special projects
  • May be responsible for tracking the progress and status of various projects
  • Generate reports as needed regarding project status
  • Expanded scope in business systems (SAP, SharePoint, etc.)
  • Responsible for handling confidential, proprietary information in a professional manner
  • May work with internal and external customers to assist with their needs
  • Directs the distribution of deliveries to appropriate personnel
  • Assist DLC with shipping coordination when necessary
  • Receive/sort mail
  • Building Management coordination:
  • Interface with Building Super and staff as needed for day-to-day operation
  • Work with Super to obtain and submit POA/COL (insurance cert) for contractors/vendors working for ETC (i.e. painter, plumber, HVAC, security, electrical, caterers…) as needed
  • Work with Super to get new (or cancel) building access cards (via Excel Security) for employees as directed by TSM
  • Coordinate & schedule regular office cleaning, repairs & maintenance projects with various existing companies
  • Interface with ETC Facilities Manager as necessary (many things are on their budget)

Minimum Qualifications:

  • Associates degree or 2-3 years of increasingly responsible positions in an office environment
  • Demonstrated excellence in previous administrative support
  • Experience in a team environment
  • Ability to interact with other employees, work as a team
  • Strong communications and interpersonal skills
  • Ability to communicate in business environment
  • Proven ability to deal with all levels of personnel and maintain strictest confidentiality
  • Ability to work independently
  • Ability to read and understand written and verbal instructions
  • Ability to read, speak and understand English
  • Keyboarding skills, both alpha and numeric
  • Knowledge of multi-line phone systems
  • Able to use Microsoft Word and Excel effectively
  • Ability to create spreadsheets
  • Ability to type documents
  • Able to project a friendly and professional demeanor
  • Able to work well under pressure
  • Ability to multitask
  • Strong organizational skills and attention to detail
  • SAP knowledge helpful
  • Analytical skills, ability to understand relationship between transactions

Competitive pay starting at $25.00/hr., up to $40.00/hr. for top talent.
